Connect Google Drive with Verabase
Google Drive sync pulls Docs, Sheets, and PDFs into your self-healing knowledge base so agents can reply using team files.
What syncs
Data Flow & Ingestion
Verabase maintains a read-only sync configuration for your Drive files. During indexing, we fetch the text layouts and sheet tables to feed RAG queries:
- Data Read: File content body, name metadata, structures of spreadsheets, and PDF texts.
- Data Written: None. Verabase does not create files or append data to your Google Drive records.
- Sync Frequency: Ingested nodes undergo a complete index scan on setup. An incremental daily update runs automatically to look for file additions or modifications.
Scope & Limits
To avoid token limits and throttling, Google Drive indexing complies with the following boundaries:
- Supported Formats: Google Docs, Google Sheets, `.pdf`, `.docx`, and `.txt` files.
- Unsupported Assets: Google Slides, drawing files, complex image directories, audio tracks, and databases are skipped.
- Drive Limits: Scans directories up to 5 levels deep. Individual files exceeding 100MB are ignored. Rate limiting conforms to standard Google API quotas.

Navigate to Knowledge → Add Source and select Google Drive in the Verabase dashboard. Refer to the Google Drive Files.list Endpoint Reference for details on folder directory scans.
Login and grant scopes
Click Connect Drive to open the secure Google OAuth login. Input your credentials and accept the read-only file access scopes request. Refer to the Google Drive Files.get Endpoint Reference to see how file details are fetched. (You can manage or revoke access settings anytime in your Google Account Connections Dashboard.)
Filter folders and drives
A directory picker will display. Select the Shared Drives or sub-directories you want to sync, then confirm your selection.
Launch crawler
Verabase will compile the file inventory and start indexing text. Synchronization progress is updated live in the Source Explorer.
Where it shows up
Connected resources display in these dashboard panels:
- Source Explorer: Appears as a directory layout list, displaying individual file status flags, extraction indexes, and file sizes.
- Details Panel: Cited reference sources appear inside the conversation thread panel whenever agents retrieve Drive context.
Troubleshooting & Common Issues
- Auth Expiry: OAuth tokens expire periodically or if an administrator resets workspace passwords. To restore, use Source Settings → Re-authenticate.
- Missing Files: Ensure the documents reside in the authorized folders. Check that the file extension is supported and that file permissions allow read access to the connecting Google Account.
